This outlines the steps for configuring Roleplay usage limits across user accounts. It ensures that admins can effectively manage monthly time caps for both individual users and the overall account, avoiding overuse while encouraging consistent training engagement.


Understanding Billing for Roleplay


1. Accessing the Roleplay Usage Settings

a. Navigate to the Settings panel via the main navigation bar.

b. Click on the Integrations tab within the settings.

c. Scroll down to find the Roleplay Usage section.

2. Understanding Default Settings

a. By default, all accounts are set to unlimited Roleplay usage.

b. This means both account-level and user-level limits are uncapped unless changed manually.

3. Editing Roleplay Limits

a. Click the Edit button beside the Roleplay Usage section.

b. You will see fields to set:

  • Monthly Account Limit (e.g., 400 hours)

  • Monthly Per-User Limit (e.g., 2 hours per user)

c. Adjust the values using input fields or arrow keys.

4.Setting Custom Limits

Examples:

  • Set the total account limit to 400 hours by entering it or using arrow keys

  • Set per-user limit to 2 hours if, for example, you have 10 users and want each to have 2 hours of usage.

  • You can mix and match limits:

    • Cap only the total monthly limit.

    • Cap only individual users.

  • To turn off Roleplay access entirely:

    • Set both the account and user limits to 0.

5. Saving Settings

a. After entering your preferred limits, click Save.

b. The system will now reflect:

  • The total monthly account cap (e.g., 400 hours)

  • The per-user limit (e.g., 120 minutes)
